Sharing a chat with council

Share an Ask AI chat with the whole council, chosen members or by link, so the same question isn't asked twice.

What it is

You can share one of your Ask AI chats with other council members, so they can read the answers you already got instead of asking the same question again. They read it live and read-only: they see your new questions and answers as you add them, but only you can ask in it. If they want to ask more, Continue in my own chat copies what they can see into a chat of their own.

A chat is never shared outside the council. Residents, contractors and anyone without a council seat in your strata can't open it, and there is no public link.

What you can do

  • Share a chat: in Ask AI, open Chat options (the three-dot button at the top of the chat, or at the top right in the installed app) and choose Share chat. Pick Whole council (everyone on council, including members who join later) or Chosen members, then Share.
  • Copy link to paste the chat's link into a message, without choosing anyone. On a chat that isn't shared yet, it shares the chat with council by link: any council member who opens the link can read it, and nobody is emailed. On a chat that's already shared, it only copies the link and doesn't change who the chat goes to; that link opens the chat only for the people it's shared with.
  • Change who it goes to at any time in the same place, or with Manage on the "Shared with…" line above the chat. A chat shared by link can go to the whole council or chosen members later; they're emailed then.
  • Stop sharing whenever you like. The people it was shared with, and anyone with its link, can no longer open it; copies they made with Continue in my own chat stay theirs.
  • Read chats shared with you under Shared with me in Chat options, with who shared each one. A chat shared by link isn't listed there: it opens from its link.
  • Continue in my own chat on a chat shared with you, to ask follow-up questions. The copy is yours: it has its own history and is kept and deleted like your other chats.

Who can do it

  • Any council member who can use Ask AI can share their own chats and read chats shared with them. That includes the property manager, with or without delegated admin.
  • During the 90-day read-only period after a term ends, you can still read chats shared with you and stop sharing your own, but you can't share a chat or change who it goes to. You can still delete your own chats.
  • Residents and Pleno support sessions can't share or read shared chats.
  • Sharing, reading shared chats, stopping a share and Continue in my own chat are part of Ask AI, on Pro.

Limits and things to know

  • Answers that used items needing review are held back. If an answer drew on a draft card waiting in Needs review, people who can't review those items see "This answer referenced items you don't have access to" in its place, without the question before it. Once an answer in a chat uses such an item, the answers after it are held back too, since they may repeat it. The share dialog warns you when your chat has answers like this. Admins, and every council member when your strata lets all council review, see the whole chat. As with draft cards, being an admin doesn't count inside the 90-day read-only period after a term ends.
  • Some answers from before chat sharing stay hidden. Answers written before chat sharing arrived (October 2026) didn't record everything they drew on. When Pleno can't tell whether one used an item waiting in Needs review, it stays hidden from people who can't review those items, along with the answers after it in the same chat.
  • Shared chats disappear when you leave the council; others can keep a copy with Continue in my own chat. Your chats stop being shared the moment you leave the council. If you leave the strata or are removed, they are also deleted that night, as described in Chat history.
  • A chat shared by link isn't private within the council. Nobody is emailed and it isn't listed under Shared with me, but any council member of your strata can read it, as with a chat shared with the whole council: the link only isn't announced. To keep a chat to a few people, share it with chosen members.
  • A shared chat updates for the people reading it within 30 seconds of a change while it's open, and when they come back to it.
  • The people it reaches get an email saying who shared it, with a link that opens it. Each person gets one email per chat: sharing with the whole council emails everyone on council, changing who it goes to emails only the people you add, and sharing it again after you stop emails only people who haven't had one about it. A chat shared by link emails nobody. The email names the chat (its first question) only when that question isn't held back from anyone. Members who join the council later aren't emailed about chats shared before they joined; they find them under Shared with me. There's no push notification for a shared chat: push on the installed app is for approval votes.
  • A chat shared with you is kept or deleted with its owner's chat; it isn't counted in your own chats.
  • On Free, shared chats stop opening. Ask AI isn't available on Free, so chats can't be opened, shared, stopped or deleted in Pleno, and a chat shared in your strata stops opening for everyone as soon as the strata is on Free. Chats are still deleted automatically, by default 90 days after their last message (admins can choose 30 days, 90 days or 1 year). If your strata returns to Pro before then, its chats and who they're shared with are back as they were.
