Needs review and draft cards
How email drafts and incomplete intake land in Needs review before they join the board.
What it is
Not every card is ready for the board. Email forwards, add-on submissions, and incomplete intake create draft cards that sit in Needs review until someone publishes or discards them.
When a draft from your Pleno address looks like a card already on the board, it says so: Looks like MNT-042, with the reason. Pleno never adds it to that card on its own.
Mail that a contractor in your contractor directory sends to your Pleno address doesn't become a draft. It waits above Needs review, in Held at the Pleno address, for the property manager, president or vice-president. So does a council member's mail past 200 emails from their address in an hour.
What you can do
- Open a draft from Needs review
- Complete missing fields
- Publish the card onto the board
- Discard a draft that should not become work
- On a draft that Looks like another card, choose Move it there to put the draft's notes, files and quotes on that card and remove the draft, or Dismiss to keep it as its own card
- Configure whether all council members can see Needs review, or only admins (president, VP, delegated PM), in Settings → Access & permissions
In Held at the Pleno address, each email shows who sent it, its subject, when it came, why it was held and its files. Show email opens its text. Then:
- Release it onto the card it seems to be about, another card, or as a new draft in Needs review. It goes on as a note that starts "From:" with the sender, with its files.
- Reject it. Nothing is filed, and the email stays on record.
Who can do it
Admins (president, VP, delegated PM) always see Needs review. Other council members see it when the strata setting allows. Publishing, discarding, Move it there and Dismiss follow the same rule: admins (president, VP, delegated PM) always, and all council members when the setting is enabled.
Held mail is for the property manager (with or without delegated admin), the president and the vice-president, who also run a card's conversations with contractors (not during the 90-day read-only overlap after a term ends).
Limits and things to know
- Forwarding works on every plan. On Free a forward arrives and files as an unparsed draft; Pro reads the message and fills in the details. A forward is never bounced for being on Free.
- Drafts that never get published do not become open cards on the board, but they still need someone to clear the queue.
- A draft looks like a card when it names the same unit, the same contractor is on the card or one of its quotes, or the titles are close. Pleno picks one card, from the cards in Planning, In progress and On hold, when the email arrives.
- Move it there keeps the card's own title, details and fields. The draft's text goes on the card as a note.
- Onto a Done or archived card, the notes and files are marked Added after completion, and the card's quotes don't change: the draft's quotes aren't added.
- While council is voting on the card, Move it there is refused for a draft with quotes. Move it after the vote, or publish the draft as its own card.
- Held mail is listed on the web board only, not in the installed app.
