Creating and editing cards

How to add a maintenance card and update its details over time.

What it is

A maintenance card is a single unit of work: a repair, project, investigation, or follow-up the council is tracking.

What you can do

Create a card

Use New card (or the split menu for email-related entry points). You can set:

  • Title and description
  • Location(s)
  • Tags
  • Importance
  • Recurrence
  • Assigned to
  • Dates and cost
  • Attached documents
  • Linked report entries

Edit a card

Open the card detail panel to change fields, add notes, attach files or links, manage quotes, and review activity.

Move a card

Drag between columns on desktop, or change status from the card detail (including on the mobile app, when you have permission).

Who can do it

People with maintenance operate permission. Council admins can delete cards. Approval-related actions are covered separately under Council approvals.

Limits and things to know

  • Free buildings stop creating or promoting open cards once the 10-card open limit is reached.
  • Email forwards and the Gmail add-on can create draft cards that still need review before they join the regular board.
  • Linking a Gmail source URL on a card is for traceability; it does not sync the whole mailbox.
