Archiving

How completed maintenance work leaves the active board without disappearing.

What it is

Archiving moves finished work off the active board while keeping history searchable. The board stays focused on live work; Archived is where older cards live.

What you can do

  • Archive a card from card detail once it is in Done
  • Open Archived on Maintenance to search and sort past cards
  • Re-open card detail from the archive when you need the record

Cards that sit in Done for roughly 30 days can be auto-archived so the Done column does not grow forever.

Who can do it

Council admins (president, VP, or property manager with delegated admin) archive cards, and only cards already in Done can be archived. Viewing archived history is available to council.

Limits and things to know

  • History is not gated by plan — completed and archived cards remain viewable even on Free.
  • Archiving is different from deleting. Delete is a stronger admin action and should be rare.
  • Archived cards are not “open” for the Free 10-card limit.
