Contractor directory
One list of the contractors, insurers, and other contacts your strata works with.
What it is
Contractors is your strata's directory of outside companies and contacts: who they are, who to call, their email and phone, and what trade they work in. Insurers and adjusters, and other outside contacts, sit in the same list under their own kind.
A contractor is not a contract. A contract is an agreement with a renewal date and annual costs; most contractors you ask for a quote never have one. Each contract belongs to a contractor, and you'll find it on that contractor's page.
What you can do
- Search the directory by company, contact, email, phone, or trade, and filter by kind (contractors, insurers and adjusters, other contacts)
- Add a contractor with New contractor
- Open a contractor to see contact details, its contracts, and the quotes and cards it is on
- Edit contact details, or mark a contractor inactive when you stop using them
- Link earlier quotes: under Possible matches, Pleno lists quotes typed with a name like the contractor's ("3 quotes from 'Harbour Plumbing Ltd.'"). Choose Link to count them under the contractor. Possible matches are only linked when you choose Link
- Unlink a quote that was linked by mistake — by a person, or automatically from email: open the contractor and choose Unlink on the quote. It goes back to its typed name, and shows under Possible matches again if that name still matches. A quote added from the contractor's own reply in a card's conversation stays linked to them: it shows From their reply instead
- Link and Unlink wait while council votes on a quote's card: the contractor a quote is linked to decides which vendor it counts under in the vote. The card says "Council is voting on this card. Unlink its quotes after the vote." A name under Possible matches links all its quotes at once, so it has no Link while any of their cards has a vote open, and says which one, for example "Council is voting on MNT-061. Link the quotes after the vote." Quotes on Done and Archived cards can still be linked and unlinked when no vote is open on them
- Switch to Renewing soon, All contracts, or Archived contracts to work with the contracts themselves
How contracts and quotes connect
- When you add or edit a contract, pick its contractor from the directory. Typing a name that isn't listed adds it to the directory when you save — there are no one-off names.
- A quote linked to a contractor counts under that contractor. In a council vote, quotes from one contractor are one choice, even if they were typed as "Harbour Plumbing" and "Harbour Plumbing Ltd.".
- When a forwarded quote comes from an email address that belongs to a contractor in your directory, Pleno links it to that contractor.
- A quote added by hand for a contractor picked from the directory, or typed with a name the directory has ("Harbour Plumbing Ltd." for Harbour Plumbing), counts under that contractor.
- A card lists the contractors asked to quote on it. See Requesting quotes and contractor conversations.
Who can do it
Council only. Residents cannot open Contractors. President, VP, treasurer, secretary, council members, and a property manager with delegated admin can add and edit contractors and link or unlink quotes. A property manager without delegated admin can add contractors too, on this page or from Request quote or Share files… on a card, but not edit or delete them. Deleting a contractor is limited to the president or vice-president.
Limits and things to know
- Each company is listed once. Names are compared without capitals, punctuation, accents, or endings like Ltd, Inc, or Corp, so "Harbour Plumbing" and "Harbour Plumbing Ltd." are the same contractor.
- Deleting a contractor keeps its contracts and quotes, but they are no longer linked to anyone. Mark the contractor inactive instead to keep its history together.
- Deleting a contractor waits while council votes on a card with one of their quotes, since it would change which vendor the quote counts under. Delete says which card, for example "Council is voting on MNT-061, which has a quote from this contractor." Delete them after the vote, or mark them inactive for now: their quotes stay linked. A quote of theirs that a later one replaced doesn't count: it's the card's history, not a choice in the vote. Once the vote ends, or on Done and Archived cards without a vote, deleting works as before.
- The directory is part of the Free plan: it is your council's own record.
