Uploading and replacing files
How council admins add documents and replace an existing file.
What it is
Uploads put PDFs, Word (.docx) files, Markdown, or plain text into the library so the building’s record lives in Pleno. Older .doc Word files are not accepted — save them as .docx or PDF first.
What you can do
- Upload a file and choose or create a category
- Confirm replacement when a new upload uses the same file name as an existing document
- Edit metadata after upload
- Delete a document (admin)
- After upload on plans with Ask AI, Pleno may nudge you to ask a question about the new file
Who can do it
Council admins upload, edit, and delete. Other council members can read.
Limits and things to know
- Each file can be up to 25 MB.
- Free: 2 documents per month. Categories work on Free too.
- Standard+: no monthly document cap, and AI indexing for Ask AI.
- Replacing does not keep version history. Pleno stores the new file and deletes the old one, so keep your own copy of anything you may need to go back to.
- If you replace a financial statement that has invoices extracted from it, those invoices keep their saved copies but lose the link back to the statement.
- Upload is desktop-oriented — the mobile app library is read-only.
