Categories
How categories organize the document library.
What it is
Categories group documents so people can find the right file quickly. Pleno suggests common ones — Bylaw, Rule, Minutes, Financial, Depreciation / reserve study, Insurance, Correspondence, Contracts, Form, and Other — and you can add your own.
What you can do
- Choose an existing category or create a new one while uploading
- Move a document to a different category by editing it
- Filter the library by category
Who can do it
Council admins file and re-file documents, which is how categories get created. All council members can browse the library. Residents only see the categories that are readable to them.
Limits and things to know
- Categories are available on every plan. You can create and use them on Free.
- You create a category by naming one during upload; there is no separate place to add them up front, and no way to rename one yet.
- A category disappears once its last document is deleted. Moving the last document elsewhere instead leaves the empty category in the list.
- The category decides resident access, so check what residents can see before filing something sensitive.
- Category also drives some behaviour: a PDF uploaded to Financial starts invoice extraction on its own.
