Invoice and financial statement extraction

Pull invoices out of financial PDFs and attach them to maintenance cards.

What it is

On Pro, Pleno can pull the invoices inside a statement PDF into structured rows you can review and attach to cards. Extraction is for statements, so it follows the category: uploading a PDF to Financial starts it automatically, and Extract invoices in the row menu is offered on PDFs in Financial only. To extract from a PDF filed elsewhere, move it to Financial with Edit first. A PDF that has already been extracted shows Review invoices wherever it sits.

On Free the statement is still uploaded and kept — extraction is Pleno reading it for you, which is Pro.

What you can do

  • Upload a financial statement (any plan)
  • Run Extract invoices from the row menu of a PDF in Financial (Pro)
  • Open Review invoices on a PDF already extracted. There, Try again restarts a failed run, and Run again re-reads a statement that came back partial or without its expense report
  • Review and edit extracted rows in the review sheet (Pro)
  • Search extracts and attach them to maintenance cards
  • Attach a late invoice to a Done or archived card: the card picker lists cards completed in the last 6 months under Done and archived, and Find a card narrows the list by card number, title or contractor
  • Detach extracts when they no longer belong

Who can do it

Admins (president, VP, delegated PM) only — running extraction, searching extracts, attaching them to cards, and detaching them all require admin permission.

Running a new extraction also needs Pro (a trial or complimentary strata counts). Extracts you already have stay searchable and attachable on every plan, so they keep working after a trial ends. There is no monthly extraction quota or AI budget.

Limits and things to know

  • Extraction quality depends on the PDF; always review before relying on amounts.
  • An invoice attached to a Done or archived card shows as Added after completion. Attaching one to an archived card leaves the card's actual cost unchanged. On an archived card, only an invoice added after completion can be detached.
  • Extraction is not metered on Settings → Usage.
  • This is separate from the Pro document import API, which can propose cards/reports from text and is not a full in-app importer yet.
