The Gmail add-on

Create or update maintenance cards from a Gmail message without leaving your inbox.

What it is

The Pleno Gmail add-on adds a side panel in Gmail (desktop and the Gmail mobile app). From an open message you can create a maintenance card or add the email to an existing card.

What you can do

  1. Install the add-on from the Pleno listing on the Google Workspace Marketplace, then open it in Gmail.
  2. Connect Pleno once (OAuth sign-in to your Pleno account).
  3. On a message, review the pre-filled card form (title, summary, location, building, vendor).
  4. Optionally use Fill out form with AI on Pro.
  5. Create the card, or add this email to an existing card:
    • if the thread is already linked to a card, the add-on offers that card;
    • if the subject names a card number (for example "Invoice for MNT-040"), it offers that card;
    • otherwise use Find a card to search by card number or title.
  6. Open the card in Pleno when you want the full board experience.
  7. Disconnect Pleno from the add-on homepage if you need to revoke access.

On the Pleno card, Open in Gmail appears when Pleno saved enough detail to find the message. It opens Gmail in whichever account your browser is signed into, so the message only comes up if that account can see it.

Who can do it

Signed-in Pleno users whose role lets them create maintenance cards. Residents, bylaw officers, council members on read-only access, and property managers without delegated admin cannot create cards from the add-on. Adding an email to an existing card is for council members only; residents can't. AI fill requires Pro.

Limits and things to know

  • The add-on only reads the currently open message — not your whole mailbox.
  • Attachment and body size caps apply (large emails may need trimming).
  • There is no two-way sync of labels or archive state.
  • Find a card lists open cards, and Done and archived cards from the last 6 months. An older card is found by its card number.
  • Adding the email to a Done or archived card puts it on as a note, with its attachments as files, marked Added after completion. The card's own details are not changed.
  • Marketplace availability may depend on Google’s publish status for your workspace.
