Known limitations and what's coming

Shipped behavior that people often assume works differently — and gaps still open.

Important shipped realities

  • Mobile home is Reports (/m/reports), not a custom home dashboard.
  • Mobile shell activates from install / PWA force — not automatic for every phone browser tab.
  • Card editing in the installed app covers who a card is assigned to, its reporter, contractor, target date, costs and categories, plus notes and file uploads. A card's title, description, location, importance, recurrence and linked reports are changed in the web app, and so are document categories and bulk uploads.
  • Reports are the resident issue log; there is no separate Projects / AGM summary generator in the UI yet.
  • Cloud files on cards are pasted HTTPS links — not a Drive/Dropbox file picker sync.
  • Property managers need delegated admin to vote and to act as full admin.
  • Document AI import exists as an API capability on Pro without a full polished importer UI yet.
  • Timeline is not a tab in the installed mobile app. In a phone browser its chart scrolls sideways, and its dates scroll away with the rows.
  • Contractor conversations start from a card in the web app (Request quote). The installed mobile app doesn't show a card's contractors or conversations yet, a conversation can't yet be started by CC'ing the strata's Pleno address, and there is no Waiting on list. Fix address and resend works on a directory contractor's own address, on open cards, after a hard bounce or a blocked address: a colleague's address that bounced can't be fixed, and a spam report or a send failure isn't offered it. Pleno recognises a council member's mail only from the email they sign in with: there are no other addresses to add. A contractor or council email that couldn't be sent is tried again the next time a conversation message goes out or an email comes in to Pleno, for any building, and at least once a day, so on a quiet day a retry can wait until the next day. A contractor's private file link quoted in their reply is removed from the text Pleno shows and passes on, including links wrapped by Outlook Safe Links, Google and Proofpoint, but not one their mail scanner swapped for an opaque link of its own (Mimecast's protect-….mimecast.com/s/…): that one stays in the message.
  • Prices read from contractor replies (Pro) come from the reply's own text and up to five of its PDF, Word, CSV or text files. Scans and photos aren't read: when the reply looks like a quote, it asks you to add the price by hand. Excel files aren't read yet. Of a PDF, only the first 35 and the last 5 pages are looked at (the first 10 and the last 2 of one over 8 MB), a page with a very large drawing on it (a detailed plan, for example), or stored in an unusual way (LZW compression, which some very old PDFs use), is skipped, and a long file is read in part (its first page and the pages with prices). If Pleno runs out of time reading a long PDF after it has found a price, a price only on the pages it didn't get to isn't read: with option A on page 1 and option B on page 30, a reading that stops at page 20 shows option A only. Add option B to the card's quotes by hand. A tax registration number ("GST 812345678") isn't taken for a price, but a floor area or a weight on a "Total" line can start a reading, which then finds no price and counts against the month's allowance. Prices behind a link, typed into the earlier mail quoted under a reply, only in the email's formatted (HTML) version, or only in the subject aren't read. A done reading isn't read again on request. A contractor you've already chosen (Selected) who sends a file with dollar figures but no total line is read only when someone chooses Read the quote, so progress invoices don't use the allowance; Pleno also stops reading a contractor's replies on its own after 10 in 30 days, and, once their quote is in, after two readings in a row found nothing, until a reply talks about a quote. A price that's also written in earlier mail from someone else in the conversation (a budget in your request, another contractor's price) is offered with a note saying so: Pleno can't tell whether the contractor is quoting it or only repeating it. Lines of a price are dropped only when Pleno can see a total they add up to. A council vote adds a contractor's live quotes on a card together, so use Replace for a revised price. A quote added from a reply keeps its amount, tax and contractor: delete it (Delete in Vendor quotes, which brings back the quotes it replaced) and add the right figures by hand. A reply that came while the strata was on Free, past Pleno's limits for that contractor, with only files already on the card, or with no new price Pleno could see without AI, is read only when someone chooses Read the quote.
  • Vendor quotes by hand are added, edited and deleted in the web app, on open cards with no council vote open; the installed mobile app shows a card's quotes only in its council vote, and doesn't list the quotes forwarded during a vote that wait for it to end (the web app's Vendor quotes does). A forwarded quote that couldn't be added the moment the vote ended, because the card was busy, is added by the next forward to that card or by Pleno's daily check. Only a quote added by hand can be edited: one from a reply or forwarded email is deleted and added again by hand. A quote holds one amount (add each option as its own quote), and its file is one already on the card: attach the PDF or photo in Documents first. A replaced quote has no Edit or Delete.
  • Your Pleno address files a reply on the card its earlier mail went to only for mail filed from October 2026 on: for older mail, put the card number in the subject. Gmail can't forward to it by itself (its forwarding keeps the original sender, and the confirmation code it sends can't be read there), so forward by hand or use the Gmail add-on; Apple Mail runs its rules only while Mail is open, and a work Microsoft 365 account may block forwarding outside the organization. Looks like is worked out once, when the email arrives, from the units, contractors and titles of the cards in Planning, In progress and On hold (no AI), and isn't updated as cards change. Move it there keeps the card's own title and fields, adds the draft's quotes only to an open card, and is refused for a draft with quotes while council is voting on the card. Held at the Pleno address is on the web board only, not the installed mobile app. It holds at most 30 emails a day for a strata and drops automatic replies, except a council member's mail held past the hourly limit: that is always kept and doesn't count toward the 30. Releasing an email files only the kinds of files Pleno takes from a contractor's reply: the others are named in a note on the card (the first 20, then how many more). Pleno knows its own emails forwarded back by who the forwarded email is from; a forward that shows only a name ("From: Pleno") isn't recognised, and the hourly limits stop it instead. Those limits count every email from one address to your Pleno address in the last hour that passed the sender check (mail forging someone's address doesn't count against them): past 20, its emails are still filed but get no confirmation and aren't read with Pro, so forwarding a large backlog at once loses those details (forward the rest an hour later, or open the drafts and fill them in); past 200, a council member's wait on the held list, and a contact's are held up to the day's 30.
  • Switching strata applies to your login, not to one device: switching on one device switches every device you're signed in on, including from an email link's "Switch to it?" page.
  • Change orders are added from the card's menu in the web app; the installed mobile app doesn't have Add as change order. Pleno doesn't add tax to card costs or votes: amounts are as entered. A card vote that passed before October 2026, on a card with no quoted cost then (or none Pleno can find in its history), recorded no amount, so a change order on that card is a vote on the whole project.
  • Report acknowledgements made before Pleno kept who and when (when the button was still called Mark reviewed) show neither.
  • Shared Ask AI chats are read-only for everyone but their owner, and update within 30 seconds while open rather than instantly. The members a chat is shared with are told by email, once per chat, not by push. A chat shared by link tells nobody, but any council member can read it, not only people who have the link. Some answers from before chat sharing arrived (October 2026) stay hidden from members who can't review items waiting in Needs review: those answers didn't record everything they drew on, so Pleno can't tell whether they used such an item. On Free, Ask AI isn't available, so chats can't be opened, shared, stopped or deleted in Pleno, and shared chats stop opening for everyone; they're deleted automatically, by default 90 days after their last message, and are back as they were if the strata returns to Pro before then.
  • Maintenance projects can be grouped by project on the timeline, but a project's section counts only items already on the timeline, not those still in Planning. Projects are one level deep (a project can't contain another project). Council can't yet vote to approve an overrun on work already approved; a project's approved total only rises when new items are voted in.
